Position Summary

Reporting to the Operations Manager, the Parts & Service Coordinator plays a central role within the after-sales service department.

This individual is responsible for the administrative coordination of service files and the management of spare parts orders. They act as a key point of contact for customers, distributors, and internal teams to deliver a prompt, efficient, and professional customer experience.

The position is primarily focused on service file follow-up, coordination, customer service, and parts ordering. Service scheduling and inventory management remain under the responsibility of the Production Supervisor.

 

Key Responsibilities

After-Sales Service

  • • Receive service requests and gather all necessary information.
  • • Create service files and work orders within the system.
  • • Manage complete administrative follow-up of service files through to closure.
  • • Follow up with customers after service interventions to ensure satisfaction.
  • • Manage warranty claims and warranty follow-ups.
  • • Respond professionally to customer and distributor inquiries.
  • • Collaborate with the Production Supervisor to ensure proper follow-up of service files, without being responsible for scheduling service calls.

 

Parts Management

  • Manage parts orders for customers and distributors from initial request through delivery.
  • Advise customers on replacement parts selection.
  • Follow up with suppliers to ensure delivery timelines are met.
  • Keep customers informed regarding order status and communicate relevant updates.
  • Coordinate local and international shipments and related documentation.
  • Process merchandise returns (RMA).
  • Follow up on technical documentation and manual requests.

 

Coordination & Operational Support

  • Collaborate daily with Sales, Production, Purchasing, and Administration teams.
  • Monitor inventory levels and communicate any anomalies or replenishment needs to the appropriate manager.
  • Maintain accurate data within ERP and CRM systems.
  • Process supplier payments when required.
  • Provide occasional administrative support to reception during absences.
  • Participate in continuous improvement initiatives to increase operational efficiency.
  • Perform any other related duties that contribute to the smooth operation of the after-sales service department.

Education & Experience

  • Education in administration, logistics, operations management, or another relevant field (asset).
  • Equivalent combinations of education and experience will be considered.
  • Experience in a similar role involving coordination, after-sales service, parts management, or technical support.
  • Experience in a manufacturing, industrial, heavy equipment, or specialized equipment environment is considered an asset.
